Who is this article for?Primary Admins wanting to learn about new updates.
Smartforms upgrades include a combination of new functionality and technical improvements.
New releases ordinarily occur every fortnight, although essential 'hot fixes' may be applied more frequently. Many major new features and upgrades take more than two weeks to plan, develop and test prior to release so these are noted in our 'coming soon' section.
This article outlines the changes implemented on 16th July, 2020.
Now you can...
This release includes:
- Many exciting new features (more details on these below)
- Tons of tweaks to improve ease-of-use
- Enterprise-grade speed and scalability
Site Administrators (new Web App permissions)
Many of our customers told us that they'd like more users to have access to the web app features (such as Reporting, sending Blasts, managing Issues and configuring Ops), but for these to be limited to the Site(s) that they're responsible for managing.
The new Place Administrator permission allows you to control this. In addition, you can lock mandated Ops to prevent editing, whilst still allowing other Ops to be created and updated at a regional/place level.
The new permission levels are:
- Primary Admin: Full access to everything including Organisation Settings and billing.
- Place (Site) Admin: Access to Reports, Blasts, Issues and Ops - but only for the Places that they are assigned to.
- Staff: Native app access only (to the Places they're assigned).
Lightning Fast Op Builder with Advanced Editing Features
As well as massively improving the speed, we've also added:
- Hierarchical drag-and-drop
- Copy/Paste
- Undo/Redo
Sophisticated Issue Management
It is now possible to set an Issue Deadline and we also auto-calculate the Resolution Time (as well making the Last Updated date/time visible). These seemingly small updates coupled with the new Advanced Reporting tools (detailed below) ensure that all outstanding actions can be tracked and managed. This is especially useful when coupled with the new Audit features ('failed Op' concept) which are detailed below.
Powerful and Configurable Reporting
The biggest change in this update is that you can now create as many saved views of your data as you wish and favourite those that you wish to easily access most often. This has been coupled with a left-hand navigation which brings all Logs (data on which you can report) together for quick access. This has been done in recognition of the fact that once you're up and running with Smartforms, you'll spend most of your time reporting on use rather than system configuration.
Report and Data Exports
Any view of your data (including saved reports) can now be exported for sharing with other people and systems. There is PDF for printing/email as well as CSV (Excel), XML and JSON (the latter two being more commonly used to import into other systems).
'Failed' Ops for Complete Auditing Functionality
Ops can be deemed to have 'failed' based on one of two criteria. Either;
- Total question points scored didn't reach the required threshold; or
- A response to a critical question can cause the whole Op to 'fail'
The 'points failure' threshold can be set as an absolute number or percentage.
Staff Invite Emails
When you add new staff to Smartforms you can now choose whether or not to send them an invite email from the system. Whether you send it or not will depend on your plans for roll-out and and how you intend to work with your team in terms of adopting your new system.
New Customer Onboarding Wizard
The all-new step-by-step onboarding wizard takes new customers through a quick and easy first-use setup. What used to take an hour (and some clients found confusing) can now be completed in under 10 minutes.
